Rental Policies

It is important that you read and understand our policies to ensure the safety of you and your organization during the rental session.

Deposit Policy

If you have spoken to camp management and requested a date, that date will be held for you for two weeks.
Your request will be dated and placed on our calendar as “tentative” at the time of your initial contact.

To guarantee your date on our calendar please return:
-signed Reservation Form
-signed Rental Policies form
-Deposit

If the above forms are not returned within 2 weeks, your requested date becomes available for others.

Refund Policy

Cancellation 60 days or more prior to your event ensures a full refund of your deposit.
Cancellation less than 60 days prior to your event forfeit any refund of your deposit.
Deposits for reservations made within 60 days of the event are non-refundable if cancelled.

Check-In and Check-Out Times

Hourly Rentals
Allow 15 minutes before and after the rented session for set-up and take-down. If your event requires more time, you will be responsible for extra hourly payment.

Day Rentals
You must not arrive before 12 p.m. unless previously authorized by camp staff.
The camp closes at sundown.

Overnight Rentals
You must not arrive before 12 p.m. unless previously authorized by camp staff.
Out of respect for our neighbors there will be no loud noises, music, movies, games etc after 10 pm.
Check-Out is at 10 a.m. If you wish to stay later than 10 a.m. on your final day, you will be required to pay the standard day rate for your group size for the final day.

Rules and Expectations

Failure to follow these guidelines will forfeit your deposit.

-The neighborhood speed limit is 25 mph. The campus-wide speed limit is 5 mph. To ensure safety, please adhere to both.
-Park in the areas designated by camp staff.
-Do not move mattresses. This includes moving them from room to room or from bunk to bunk.
-Out of respect for our neighbors, please keep noise to a minimum from 9 p.m.- 9 a.m. (i.e. no loud music or shouting)
-Absolutely NO food, snacks or drinks (with the exception of water) in the dorms.
-Kitchen appliances are off-limits, with the exception of the ice makers, coffee maker, refrigerator and microwave.
-All food, snacks and drinks in our refrigerators prior to your rental are off limits.
-Do not deface or alter the property or buildings in any way. (i.e. staples, paint, screws, etc.)
-Please inform a staff member at least an hour in advance of use of the swimming pool so they can unlock the facility for your group.

Roanoke Christian Camp is a smoke-free, alcohol-free and pet-free facility.

Clean Up Policy

-All trash bags in cans and trash around campus should be picked up over the entire camp and deposited in the dumpster located behind the Dining Hall.
-Floors swept and mopped.
-Sports equipment, carpet balls, basketballs and soccer balls should be returned to the door of the Sports Equipment Storage Room.
-Chairs in Multipurpose building and Dining Hall should be stacked neatly along the sides.
-Tables in Dining Hall, if used, wiped off with a solution of warm soapy water.
-All pool equipment and chairs placed neatly along the inside perimeter of the pool area.

We reserve the right to retain the Reservation/Damage Deposit if cleaning not done properly or if property damage has occured. If damage done is in excess of the $100 deposit, you will be billed for the additional costs.

FAQ

We are going to cook for a large group. Can we use your ovens, dishes, sinks, or serving tables?

  • Unfortunately, our kitchen and everything in it is not included in any rental. All food prepared in our kitchen is subject to Health Department Laws, even if we are not preparing it. If someone gets sick, the camp will be held responsible, not your group. We will not potentially compromise our summer camp programs for any rental group. This only applies to the kitchen. You are still able to set up tables and eat in our climate controlled Smartnick Dining Hall.

How do we prepare meals for our group, then?

  • You have several options. You can choose from our menu and we can prepare meals for you at an additional cost. You can also bring a grill and cook outside. You can plug in hotplates or slow cookers in the dining area (not the kitchen). You can also have a group cater your event, but be sure to communicate to them that they are not allowed to use our kitchen for any reason. We also have a stainless steel sink behind the dining hall with hot and cold water if you need to wash pots or water for food preparation.

How people can sleep in the dorms?

  • The Boys’ Dorm can sleep 72 and the Girls’ Dorm can sleep 80.
